Privacy Policy

What we store

• For businesses: the profile you enter (name, address, services, prices, hours, optional rating), your Google account email, and an encrypted token that lets us read your calendar's busy times and create booking events. The token is encrypted at rest and can be revoked by you at any time from your Google account.
• For customers: the name and contact details you give when booking, plus the appointment itself. These are shared with the business you booked and placed in its calendar event.
• Usage: which tools an AI assistant called and when, so businesses can see where bookings came from. Customer names and contact details are not written to these logs.
• Contact form: if you ask us to get in touch through the form on usewolf.ai, the business name and email you enter are stored with our hosting provider and used only to reply to you.

Cookies

• We set one functional cookie, abb_session: a signed, httpOnly cookie that keeps a business owner logged in to their dashboard for up to 12 hours. It identifies your business to us and does nothing else.
• During Google sign-in we use a short-lived signed state value to block forged sign-in attempts; it expires within minutes.
• We use no tracking or analytics cookies, and no third-party cookies.

What we do not do

• We do not sell or rent personal data.
• We do not read the contents of a business's other calendar events - only free/busy times.
• We do not take payment card details; if a deposit is required, payment happens on the payment provider's own hosted page.

Calls and text messages

• When we contact you: only after you contact a participating business first - by calling its number, texting it, or booking with it. We do not buy, rent or cold-message phone numbers, and we never send marketing to people who haven't reached out.
• What we send: booking confirmations, appointment reminders, a reply if you texted us, and - if you didn't complete a booking - at most a few follow-up messages about that enquiry.
• Frequency: varies with your own activity; typically fewer than 5 messages per enquiry.
• Opting out: reply STOP to any message and we stop immediately; reply START to resume, or HELP for assistance. Message and data rates may apply.
• Quiet hours: we do not send messages between 9pm and 8am in the business's local time.
• Calls: calls to a participating business may be answered by an automated assistant and transcribed so the business can follow up. Transcripts and message content are deleted after 90 days.
• Service notes: so returning callers are recognized, a business may keep brief service notes tied to your phone number (for example your name, or your pet's name and breed). These notes are visible to that business only, never shared across businesses, and the business can delete them at any time - or will on your request.
• Call summaries: after an AI-answered call, a summary and a copy of the conversation are emailed to the business you contacted, and remain in their mailbox like any email you might send them directly.
• Browser voice demo: the "Talk to our AI" demo streams your microphone audio to our AI provider for live processing; audio is not stored. A text transcript may be kept for up to 7 days for quality, along with a hashed (not raw) network address used only for rate limiting. Demo conversations never create real appointments.
• No sharing for marketing: phone numbers and message content are shared only with the business you contacted and with our telephony provider to deliver the message. They are never sold, rented, or shared with third parties for marketing purposes.

Deletion

Ask your WolfAI contact and we will delete your business profile, tokens and booking history. Disconnecting our access in your Google account also stops all future bookings immediately.
